Venue Power, Space and Load-In: What On-Site Printing Needs

The venue facts that decide a live printing activation: dedicated circuits per press, usable footprint, dock and load-in windows, and house rules.

Why venue logistics decide the activation

Live printing looks like a creative decision and behaves like a logistics one. The artwork, the garments, and the crew are the easy part — those are all inside our control. What actually determines whether an activation runs smoothly is a short list of facts about your venue: where the power is, how much floor you have been assigned, how equipment gets from the loading dock to the booth, and what the building will and will not allow.

Every one of those is knowable weeks in advance, and every one of them is a same-day emergency if nobody asked. This page is the list we work through on every corporate build, written out so your team can gather it before the first call and skip the back-and-forth entirely.

Power is the number one cause of on-site problems

Heat presses and embroidery equipment draw real current, and they draw the most of it on spin-up. A single press on a dedicated 20-amp circuit is comfortable. Two presses sharing a household circuit with the booth lighting and a laptop is how a breaker trips fifteen minutes into a reception, in front of guests, with a line already formed.

What we ask for, and what you should request from the venue in writing: dedicated 20-amp circuits, one per press, with the drop location confirmed on the floor plan rather than described verbally. Convention centers sell power by the circuit and the order usually has a discount deadline weeks out, so this is a budget line as well as a technical one — ordering it late frequently costs double.

The phrase to be suspicious of is "there are outlets along that wall." Outlets tell you nothing about what else shares the circuit behind the drywall. Ask what the circuit is rated for and what else is on it.

Footprint: what the numbers on the floor plan leave out

A 10×10 booth is not ten by ten of usable production space. Subtract the guest-facing edge, the table depth, and the crew access you need behind it, and a nominal 10×10 gives roughly a 6-foot working run. That is fine for a single-station build. It is not enough for two presses plus staged garments, and it is definitely not enough if the back of the booth is against a hard wall with no gap.

The requirement people forget is crew access behind the tables. Two feet is enough. Without it, restocking garments and clearing finished pieces has to happen across the guest line, which slows the queue and puts the working mechanics of the booth into every photograph. With it, the crew is invisible and the activation looks effortless.

Vertical space matters too. If your booth has a hanging sign or a height restriction, tell us — hat walls, garment racks, and signage all compete for the same headroom, and some venues cap booth height without exception.

Load-in, dock access, and the window nobody budgets

Equipment arrives on carts. Carts need a path. The difference between a dock with a freight elevator and a front-door load-in up a flight of stairs is roughly ninety minutes of crew time, and that time comes out of setup, not out of thin air.

What we need to know: the load-in window and whether it is a hard start, dock height and whether it accommodates a standard van, distance and route from the dock to the booth, whether the venue requires union labor for material handling, and whether there is a marshalling yard with its own check-in process. Convention centers and hotels behave very differently here, and a hotel ballroom with a service corridor is often easier than a large center with a formal freight process.

Build in setup time on the far side of the answers. A station that needs to be pressing at 6:00 p.m. should be built by 5:00 — the last hour is for test presses, alignment checks, and the small fixes that only appear once the equipment is warm.

House rules that change the build

Venues restrict things for reasons that are usually about their floors, their air, or their insurance. Heat-generating equipment sometimes needs approval. Some ballrooms prohibit anything that could mark the carpet, which means floor protection under the press. Outdoor and tented spaces raise wind and shade questions that change the equipment list outright. A handful of venues require a certificate of insurance naming them as additional insured, with a lead time of its own.

None of these are obstacles when they surface three weeks out. All of them are a scramble on the day. Ask your venue contact for the exhibitor or event services packet early and forward it to us whole — we read them, and it is faster than answering questions one at a time.

How much power does an on-site printing station need?

Plan on one dedicated 20-amp circuit per heat press.
